This page summarizes how BJJ Manager treats operational academy data.

Data collected

To provide the service the app may store: academy profile and logo; student records (name, date of birth, gender, phone, email and an optional photo); guardian contact details for students who are minors; belt and grade history; tournament results and achievements; payment status and payment history; store purchases, balances and receipts; attendance check-ins and per-student attendance codes; signed waivers (signer name, relationship and timestamp); staff invitations; and account profile data.

Use of data

Data is used to operate the product, authenticate users, identify students at the attendance kiosk, support billing, send service and reminder emails, and improve reliability. We do not sell personal data.

Minors

Records for students under legal age include guardian contact information. The academy is responsible for obtaining the consent needed to store a minor’s data and photo and to send communications about that student.

Attendance kiosk

The check-in kiosk runs on a device the academy places at its entrance. Students identify themselves with a short numeric code; the kiosk records the check-in time and shows the student’s name, photo and payment status to academy staff. It is reachable through a secret link and does not require a student login.

Retention and deletion

Data is kept while the academy account is active. An academy can permanently delete a student from the product: doing so erases the student’s profile, photo, belt history, achievements, notes, waivers and attendance records, while payment entries are anonymized and retained for the academy’s financial history. Deleting the academy account removes its data, including students, attendance and store records. To exercise your rights of access, rectification, cancellation or objection (ARCO) over your personal data, contact your academy or write to [email protected].

Third parties

Payment processing is handled by Stripe (BJJ Manager never stores card numbers), and transactional email is sent through an email service provider. Data is stored on servers managed by BJJ Manager.
